Why and when you need ongoing system management

The self-monitoring plan is a document; the self-monitoring system is that document working on the premises: filled-in monitoring sheets, a cleaning plan that is followed, up-to-date supplier and equipment details. The PTA assesses both at inspection.

The system needs upkeep. Under the guideline the plan is assessed periodically and after every significant change, monitoring sheets are kept for a year and test reports and audit sheets for at least three years. In a small business this work is often left undone alongside the daily work.

With the management service we take that work on: we keep the documents current, review at an agreed frequency whether monitoring and records work the way the plan says, and make the changes before they become a problem at inspection.

You need management when

  • you have a plan, but nobody has time to keep it current
  • the menu, suppliers, equipment or staff change often and every change should be reflected in the plan
  • monitoring sheets go unfilled or are filled in afterwards, and you want someone from outside to review them regularly
  • you have several sites and want the documents to be identical and current in all of them
  • you want changes in the PTA's requirements or guidelines to reach your plan without having to follow them yourself

Questions about system management

An update is a one-off job: we bring the existing plan in line with the current requirements and the actual operation. Management is an ongoing service: after the update we keep the plan and the records in order, review them at an agreed frequency and work changes in as they arise.

We agree the frequency to suit your operation. The PTA's guideline recommends assessing the system periodically, for example once a year, and after every significant change; in a business that changes often, a more frequent review makes sense.

No. Day-to-day monitoring, such as measuring temperatures and confirming cleaning, stays with the business's staff, because it has to happen on the premises and as it occurs. We review the records regularly, point out the gaps and adjust the forms when they do not work.

Following the example in the PTA's catering guideline, monitoring sheets are kept for one year, laboratory test reports and audit sheets for at least three years, and the core documents until they are replaced. As part of the service we make sure the required records are there and easy to find.
