Why and when a self-monitoring plan needs updating

A self-monitoring plan must reflect the real situation in the business. The PTA's guideline says the plan and the system must be assessed periodically, and always when the business changes significantly: new equipment, products or technology. The necessary changes are then made to the plan.

A plan that describes a menu, premises or equipment that no longer exist does not show at inspection that the hazards are under control. The same guideline requires the self-monitoring system's documentation to be correct, accurate and up to date.

When updating, we start from your current plan, go through every part of it against the current guideline and fix the gaps. If the old plan was built to a different structure, we bring it into the structure of the PTA's guideline, so that an inspector finds what they are looking for.

You need an update when

  • the menu, product range, premises, equipment or working routine have changed but the plan still describes the old situation
  • the plan still refers to the Veterinary and Food Board (VTA) or a regional veterinary centre: supervision is now the Agriculture and Food Board's, and so are the current guidelines
  • the PTA has pointed out shortcomings in the plan at an inspection
  • the plan has been amended by hand for years and its pages, annexes and forms no longer form a whole
  • more than a year has passed since the plan was last reviewed

Questions about updating a plan

The PTA's guideline recommends assessing the plan and the system periodically, for example once a year, and always when the business changes significantly: new equipment, products, technology or processes. The necessary changes are made to the plan on the basis of that assessment.

Usually it can be updated. If the plan was written for the business's own activities and its core is intact, we fix the gaps and complete it. If it is a generic template that was never adapted to the business, or the operation has changed completely, a new plan is the better choice. We tell you which after reviewing the plan.
